A simple, private PDF workflow

Merge, split and build PDFs in the right order — and know when a standard PDF or PDF/A is the better format.

Most PDF jobs fall into a few patterns: combine several documents into one, pull out a few pages, put images into a PDF, or fix the page order. You can do all of them in one place with the simplytools.us PDF workshop, without uploading the files.

This guide is the order of operations. The tools are the buttons.

1. Decide what the final document should be

Before touching the files, write down the page order you want. For example:

  • A job application: cover letter, résumé, portfolio, references.
  • A closing packet: contract, disclosures, identification, signature pages.
  • A records bundle: invoice, receipt, supporting email.

If the source files already contain extra pages, split them first rather than merging everything and hoping.

2. Merge or split first

Use the merge & split section of the PDF workshop when the job is about page selection.

  • Add several PDFs and arrange them in the order you want.
  • Extract pages with ranges such as 1-3, 5, 8-10.
  • Produce one combined file or a separate file per group.

Splitting copies the pages you name; the original file is not changed.

3. Build and tidy

Use the build from files section when the job includes images or presentation.

  • Mix PDFs, JPGs and PNGs in one document.
  • Choose A4 or US Letter for image pages.
  • Add optional page numbers.
  • Reorder whole files before building.

Small scans are often easiest to include as images, but they remain image-only. If you need searchable text, run OCR in a dedicated app first.

4. Choose the right PDF format

For everyday sharing and printing, a standard PDF is fine. Use PDF/A only when a records policy or recipient requires long-term archiving. Our PDF/A comparison explains the trade-offs, and the PDF glossary defines the terms.

5. Check before you send

  • Open the result and confirm the page order.
  • Check that signatures, stamps and annotations survived.
  • Look for blank pages and duplicated pages.
  • Confirm no confidential pages were included by mistake.
  • Keep the originals until the recipient confirms they can open the file.

When a desktop app is better

For redaction, OCR, digital signatures, form creation or very large documents, use a dedicated desktop PDF application. Browser tools are best for straightforward combining, splitting and image-to-PDF jobs.

Privacy is a habit. Keeping the file on your device is a good default — and the workshop is built around that idea.
